MBOT is currently reviewing its policies regarding the certification of documents. There have been a few changes to our policies that you must take note of before coming to get any documents stamped.
 
Any business-related applications for a Work Visa in another country must be signed in person in front of our staff. If this is not possible, then valid government-issued Photo Identification with a signature must be presented to prove the signature on the document is authentic.

Additionally, proof that the business is a registered business in Canada must be presented, (i.e. Business Registration, Certificate of Incorporation, Business Number, etc.) before the documents can be signed.
 
We do not certify documents that are not written in English.
 
Mississauga Board of Trade reserves the right to refuse certifying of documents should they be deemed unacceptable. We encourage companies to contact us prior to coming to our office to ensure documents are acceptable.
 


All documents requiring certification by Mississauga Board of Trade must first be sworn to by a Commissioner of Oaths, a Notary Public or a Justice of the Peace.

 

For your convenience, a Commissioner of Oaths is available at the MBOT office. All documents requiring a Commissioner's stamp must be signed in front of our Commissioner of Oath. 

 

There are some documents that require a Notary Public's signature and cannot be signed by Mississauga Board of Trade's Commissioner of Oaths. 

 

Business-related documents that can be commissioned by MBOT include:

  • Certificates of origin for export shipments
  • Invoices and other shipping documents
  • Exporting vehicles overseas
  • Packing slips
  • Business visa requests

 

All documents - photocopies or originals – must have an original signature on them IN BLUE INK. To certify photocopies, a person who is authorized to sign the documents, must include the following statement followed by his/her signature: “I certify this document to be a true copy of the original”.

 

Document certification is necessary for embassies, foreign customs, bankers and freight forwarders/customs brokers.

 

 

Certificates of Origin

 

Documents can be dated within a month before or after the date they are brought in to be signed.

 

Exceptions: Mississauga Board of Trade will not certify or commission: 

  • Certificate of Origins that refer to a “Free Trade Agreement” (e.g. NAFTA)
  • Government documents
  • Personal documents
  • Legal documents

**Change to Fee Structure**
 
Effective July 1, 2010, the Provincial Sales Tax (PST) has been combined with the federal Goods and Services Tax (GST) to form a single Harmonized Sales Tax (HST). Our prices have remained the same; however the fee structure has changed.
Previously, our fees were based on a set of any documents requiring 1 to 12 signatures. Effective July 1st, a “set” is defined as a group of documents pertaining to the same invoice/shipment/subject (maximum of 12 pages). This can be any combination of documents such as certificates of origin, invoices, packing lists, way bills, etc. The same consignee address must be on all documents, same list of goods and are going to the same destination; OR up to 12 originals of the same document. The fees include 13% HST.

How do I get started?

Easy! Complete a Letter of Waiver form, have it notarized by a Notary Public or Commissioner of Oaths (MBOT cannot notarize this document). Download a Letter of Waiver at www.tradecert.com/mississauga.
